Description

King’s College London Transcript

Academic and Administrative Guidance

Eligibility to Apply for a Transcript

You may apply for an official physical copy of your transcript in the following circumstances:

  • Following successful completion of your degree, where an award has been conferred.
  • Following partial completion of a degree level programme of study, where you have left the programme without completing the full degree and examinations will have been ratified and recorded.
  • Following withdrawal from a programme of study, where module examination results will have been ratified and recorded.
  • Where no award was gained following a period of study, where module examination results will have been ratified and recorded.

The transcript will reflect the academic results and credits recorded for the period of study. The fact that a student did not complete the full programme or did not receive an award does not, in itself, prevent a transcript from being issued.

Programmes and Students for Which a Transcript Cannot Be Issued

Research Degrees

A transcript cannot be issued for research degree programmes because the assessments and outcomes associated with these programmes are not recorded as modular results in the same manner as those for taught programmes.

Examples of research degrees include:

  • Doctor of Philosophy (PhD)
  • Master of Philosophy (MPhil)
  • Doctor of Education (EdD)
  • Doctor of Clinical Psychology (DClinPsy)
  • Doctor of Medicine (MD)

If you need to provide evidence of your research degree, you should use your degree certificate. If you have not yet received your degree certificate, you can obtain a digital 'Confirmation of Award' letter from colleagues in the Student Services Online team. If required, Student Services can also add a statement confirming that a transcript cannot be provided for your course.

Freestanding Courses or Individual Modules

Students who completed a freestanding course or individual module do not receive an official transcript. Instead:

  • Gradintelligence can provide a Record of Agreed Results document; or
  • The Student Services Online team can assist with the provision of a Confirmation of Study Letter.

The Taught Assessments & Awards / Transcripts Team do not prepare or issue letters.

Official Transcript

The King’s College London transcript is the official record of a student’s programme of study and examination results. It records the marks and credits obtained for the relevant core modules.

The transcript is produced using the standard, officially approved King’s College London format. The format and content are consistent for all alumni and cannot be customised.

We are unable to amend, remove, add to, or otherwise modify the approved transcript template or its content to meet individual, employer, organisational, or other external requirements.

Grading and Credit Information

The transcript does not include or have attached to it the University’s grading or marking scheme/system information.

ECTS (European Credit Transfer and Accumulation System) credits are not stated within the body of the transcript. However, the standard King’s College London transcript paper contains the statement:

“2 KCL Credits are equivalent to 1 ECTS Credit.”

This statement is printed on the reverse side of each sheet of King’s College London transcript paper.

The same ECTS equivalency information is also stated on the digital Higher Education Achievement Report (HEAR).

Digital Transcripts and Historical Awards

Digital transcripts became independently accessible to graduates with awards from 2012 onwards.

Digital Transcripts are Free of Charge and can be PDF’d, Printed, ‘Live’ shared securely or emailed from the Gradintelligence platform as many times as required.

For graduates with awards prior to 2012, it may be possible to make a digital transcript available. However, this is assessed on a case-by-case basis and depends largely on the availability, configuration, and alignment of the historical data with the current system.

Consequently, we cannot guarantee that a digital transcript can be provided for awards made before 2012.

Our Student Services Online team are best placed to advise and assist with queries regarding the availability of digital records and transcripts.

Physical Transcript

Production, Authentication and Security

Each transcript is produced on King’s College London-approved transcript paper, incorporating holographic and anti-counterfeiting watermarks.

The information shown on the physical transcript is the same as that contained in the corresponding digital version.

For security and authenticity:

  • All transcripts include the electronic signature of the Executive Director of Students and Education.
  • Each transcript is freshly stamped with the King’s College London red crest before dispatch.
  • When prepared for postage, each envelope is signed across the flap, stamped with the King’s College London crest, and sealed with the RTS address label.
  • Due to the security features and controlled production process, transcripts are not issued or sent by email.

Postage and Delivery Arrangements

The transcript application fee includes postage.

We use the following standard postal services:

  • UK: Royal Mail Standard 1st Class.
  • International: Royal Mail Standard Airmail.

Neither service includes tracking. Therefore, a tracking number cannot be provided for transcripts sent using these services.

Courier delivery is not available, and we are unable to arrange or facilitate courier delivery.

Fast-Track Orders and Collection

Fast-track or expedited transcript orders are not available. All orders are processed according to the standard production turnaround.

In some circumstances, we may be able to accommodate in-person collection of a transcript from our London Waterloo Campus only.

Collection is subject to prior arrangement and confirmation and cannot be guaranteed for every order.

Production Timescale

The standard handling and production turnaround is up to 10 working days from the date the order.

A despatch email notification is sent upon completion.

Please note that production may take longer during particularly busy periods or where an archive search is required to retrieve or verify historical records.

Awards Prior to 2008 and Archive Searches

We welcome transcript applications for awards gained before 2008 and will make every reasonable effort to locate the relevant historical records required to prepare and issue a transcript.

Where it is not possible to fulfil an order because the necessary module and/or examination records cannot be located in the University’s archives, we will:

  • Provide a full refund of the transcript application fee; and
  • Send you an email explaining the searches and attempts undertaken, together with the challenges encountered in locating the required results within the Archive.

For awards from this period, as well as applying to King's, applicants are also recommended to submit a transcript application to The University of London, who can conduct an archive search for historical records and, where the required information is available, facilitate the production of a transcript.

Ordering Options

The available Transcript payment options are:

Product Cost
Academic Transcript x 1 £17.00
Academic Transcript x 3 £36.00
Academic Transcript x 5 £50.00
Academic Transcript x 7 £64.00

If you choose the 3, 5 or 7 options, please be advised that there will be an opportunity to enter multiple postal addresses.

Please note: If you wish to order a number of Transcripts outside of the above options (i.e. 2, 4, or 6) you will need to add the appropriate available options to your shopping basket until you have the required number of Transcripts.

If you completed multiple degrees with us, you will need a separate order and payment for each degree.

Alternative Forms of Official Confirmation/Verification

Where a transcript cannot be issued because of the nature of the programme, or where an appropriate historical academic record cannot be established, alternative forms of official documentation may be available.

Depending on the circumstances, this may include a Confirmation of Award letter or Confirmation of Study Letter.

Your period of studies at King’s College London can be confirmed to a 3rd party organisation through The Higher Education Degree Datacheck (HEDD).   HEDD offers a centralised system for degree verification that connects employers, agencies, universities, embassies and councils. Pass this link https://hedd.ac.uk/  to your 3rd party.

Note that Graduates cannot use this service.
